THE CHALLENGE

Navigating a Post-Pandemic Event Planning

LHW’s initial approach for their luxury event began in 2020, but when COVID hit, we were immediately faced with the challenge of transforming a planned three-day in-person event into a fully digital experience. This required us to pivot quickly—redesigning all event content, reshaping presentation formats, and building a 1-1 digital meeting system from scratch.

When LHW returned in 2021, eager to plan an in-person event once again, the emotional journey became as significant as the logistical one. Attendees were still dealing with the uncertainty and anxiety caused by the pandemic. Our task was to ease those concerns. Countries were unprepared, with limited staff and supplier capacity due to the ongoing effects of the pandemic, and the fresh COVID outbreak at the start of the year heightened fears.

We had to restore confidence—transforming trepidation into excitement. It wasn’t just about creating a seamless event but fostering a sense of safety, connection, and hope. The challenge was to rebuild trust and demonstrate that, even in a world still recovering, LHW could deliver not only a successful event but also an emotionally uplifting experience, filled with optimism for the future of luxury events.

Seamless Event Experience for LHW’s Return to In-Person Gatherings in 2021

For LHW’s highly anticipated return to in-person events in 2021, we delivered a seamless event experience that exceeded expectations, despite the ongoing challenges of the pandemic.

Every detail was meticulously curated to evoke emotions of connection, luxury, and cultural authenticity, with the creative concept centered around Portuguese heritage. The key visual embraced the rich textures and warmth of Portuguese culture, symbolizing a return to in-person gatherings that felt both welcoming and celebratory. This cultural touchpoint was designed to make guests feel at ease while also reflecting the elegance and sophistication that LHW events are renowned for.

Our team managed every aspect of the event, from organizing impactful conferences, meetings, and networking sessions to hosting an elegant “get-together” dinner and a grand Gala Dinner with awards. We also curated engaging activities for attendees’ companions, provided captivating entertainment, and ensured flawless audiovisual support, elevating the entire experience.

With COVID-19 still a significant concern due to the outbreak at the start of the year, health and safety were our top priorities. We implemented daily testing protocols, ensuring that all attendees were tested each morning at the hotel, and no one entered the social events without proof of a negative result.

By merging cultural storytelling with meticulous planning and comprehensive safety measures, we created a secure environment where guests could reconnect, celebrate, and experience the luxury and elegance that LHW clients expect. Every aspect—from event logistics to COVID precautions—was managed seamlessly, allowing the 200 attendees to focus on enjoying a truly memorable event.
